An event shirt has one job to do on the day: show people who belongs to what. That might be a hundred runners in matching colours, a wedding party in joke slogans, volunteers who need to be spotted across a hall, or a festival crew in one bold design. We print for all of these, and the main thing we plan around is the date, because an event shirt that arrives the day after is no use to anyone.

Designs that read from a distance

Event shirts are usually seen from several metres away, in crowds, often outdoors. High contrast and a short message work better than detail. Keep the main wording large, limit the colours, and leave space around the artwork so it does not blur into the fabric folds. If you want dates, a hashtag or sponsor names as well, we can place them smaller on the sleeve or the back. Send us your idea and we will tell you honestly how it will look at that size.

Colour-coding staff, volunteers and guests

One of the easiest ways to run an event smoothly is to colour-code the people working it. Staff in one colour, volunteers in another and VIPs or speakers in a third means attendees always know whom to ask. The design can stay the same across all colours, which keeps the order simple and the look consistent.

Sponsor logos

If sponsors are paying towards the shirts, give them a clean position, usually the back, below the neck or on a sleeve. Ask each sponsor for a vector version of the logo early, because late artwork is the most common reason an event order slips. We can also check that small logos stay readable at the size you plan to print.

Which method is quickest

For event work we normally recommend DTF printing or heat transfer, because neither needs a screen to be set up, so there is less lead time before printing can start. Both handle full-colour designs and small runs well. If you are ordering several hundred identical shirts in one or two colours, screen printing may be cheaper per piece, and we will say so in the quote.

How far ahead to order

Two to three weeks before the event is the safe window. That covers artwork checks, a sample, and any changes. If the date is closer, contact us directly and we will tell you whether it is feasible. Rush production is available for an extra fee, and we confirm the cost before work begins. We do not promise same-day delivery on every job, so ask us about your specific date first.

Working out quantities

Base the order on confirmed registrations, then add a small buffer to cover late sign-ups and the odd wrong size. Mixed sizes in one design carry no extra charge. Small events and one-off parties

There is no minimum order, so a wedding party of eight or a birthday group of fifteen is just as welcome as a thousand-runner charity race. DTF suits these small runs because the cost does not depend on screens, and names, dates and in-jokes can be different on every shirt if you want them to be.

Delivery to the venue

We can arrange delivery to your event venue if you need it, as well as to your home or office. Tell us the address and the date the shirts must be in your hands, not the date of the event, and we will plan backwards from that.

Pricing

Event orders follow the same quantity-based pricing as other bulk work, and starting prices for each garment are on the pricing page. Your written quote lists the garments, the print and any extra position separately. Orders over 100 pieces need a 50% deposit before production starts.

An event checklist

• The date the shirts must be in your hands, which is earlier than the date of the event
• A confirmed headcount, plus a small buffer for late sign-ups
• The artwork, ideally as a vector file, with sponsor logos included
• Garment type, colour and any colour-coding for staff and volunteers
• Where the print should sit: chest, back, sleeve or a mix
• The delivery address, which can be a venue
